Collection Pro Privacy Policy

AphCom operates the Collection Pro application, referred to in this Privacy Policy as “Collection Pro,” the “App,” “we,” “us,” or “our.”

This Privacy Policy explains how Collection Pro collects, uses, stores, shares, and protects information when a Shopify merchant installs or uses the App.

This Privacy Policy applies specifically to Collection Pro. It does not apply to other AphCom services or websites that have separate privacy policies.

1. Who we are

For information processed on behalf of a Shopify merchant, AphCom generally acts as a service provider or data processor. For information used to administer the App, provide support, manage subscriptions, maintain security, and comply with legal obligations, AphCom may act as a data controller.

2. Information Collection Pro processes

Collection Pro processes only the information reasonably necessary to provide and maintain its collection-management functionality.

Shopify store and installation information

When the App is installed or used, we may process:

  • Shopify store name and .myshopify.com domain
  • Shopify store and app installation identifiers
  • App installation status
  • Permissions and access scopes granted to the App
  • Shopify administrator or staff identifiers made available through Shopify
  • App authentication and session information
  • Store language, timezone, and relevant configuration settings

Catalog and collection information

Depending on the permissions granted and the features used, Collection Pro may process:

  • Products and product variants
  • Product titles, handles, tags, vendors, types, pricing, inventory information, and collection membership
  • Manual and automated collections
  • Collection titles, descriptions, handles, rules, sorting, templates, and publication status
  • Sales-channel publication information
  • Theme and template information
  • Online Store navigation information
  • Collection Tabs records
  • App-owned metaobjects and metafields
  • Collection publishing and unpublishing schedules
  • Inventory-protection settings
  • Import and export files submitted through the App
  • Bulk-operation jobs, results, warnings, and error information
  • Collection analytics and health information generated by the App

Subscription and billing information

Collection Pro may process information received from Shopify about the App subscription, including:

  • Selected plan
  • Billing interval
  • Subscription status
  • Trial period
  • Pending plan changes
  • Subscription discounts
  • Promotion-redemption status

All subscription charges are handled through Shopify. Collection Pro does not receive or store merchants’ complete payment-card or bank-account details.

Technical and diagnostic information

When the App is accessed, we may process limited technical information such as:

  • Request dates and times
  • Browser and device information
  • Internet Protocol address
  • Application errors and diagnostic logs
  • App performance information
  • Security and authentication events
  • Actions performed within the App
  • Support and troubleshooting information

We use this information to operate the App, investigate errors, prevent misuse, maintain security, and improve reliability.

Customer and order information

Collection Pro’s current functionality does not request access to Shopify customer records, customer accounts, or order records.

If Collection Pro’s functionality changes in the future and requires additional information, this Privacy Policy and the App’s Shopify permissions will be updated before such information is processed.

3. How we use information

We may use the information processed through Collection Pro to:

  • Authenticate merchants and authorized Shopify staff
  • Provide collection-management functionality
  • Create, update, organize, publish, and schedule collections
  • Provide Collection Tabs and storefront integrations
  • Process imports, exports, and bulk operations
  • Generate collection analytics, health checks, and issue reports
  • Enforce subscription plans and feature access
  • Verify subscriptions and promotions through Shopify
  • Maintain app settings and merchant preferences
  • Provide technical support
  • Diagnose errors and improve reliability
  • Prevent unauthorized access, fraud, and misuse
  • Comply with legal, regulatory, and Shopify platform requirements
  • Respond to privacy, deletion, and data-access requests

We do not use Shopify store data for unrelated advertising.

4. Legal bases for processing

Where applicable data-protection law requires a legal basis, we process information on one or more of the following grounds:

  • To provide the App and perform our agreement with the merchant
  • To comply with legal or regulatory obligations
  • To protect our legitimate interests in operating, securing, supporting, and improving the App
  • To protect the rights and security of merchants, users, AphCom, Shopify, and others
  • With consent, where consent is required by applicable law

5. How information is shared

We do not sell merchants’ personal information or Shopify store information.

We may share limited information with service providers that help us operate Collection Pro, including:

Shopify

Collection Pro operates through the Shopify platform. Shopify processes information according to its own agreements and privacy policies.

Hosting and infrastructure providers

The App and its database may be hosted using cloud infrastructure providers, including Railway. These providers may process information only as necessary to host, secure, monitor, and maintain the App.

Professional service providers

We may share limited information with professional advisers, auditors, accountants, or legal advisers when reasonably necessary.

Legal and safety disclosures

We may disclose information when required by law, legal process, court order, regulatory request, or when reasonably necessary to:

  • Protect rights and property
  • Investigate fraud or security incidents
  • Prevent harm
  • Enforce our agreements
  • Comply with Shopify platform obligations

Business transfers

If AphCom or Collection Pro is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to appropriate confidentiality and data-protection requirements.

6. Data retention

We retain information only for as long as reasonably necessary to:

  • Provide Collection Pro
  • Maintain merchant settings and records
  • Fulfil contractual obligations
  • Resolve disputes
  • Prevent fraud and abuse
  • Maintain security and audit records
  • Comply with accounting, legal, and regulatory obligations

When a merchant uninstalls Collection Pro, we may retain limited installation, billing, security, audit, and support records where legally or operationally necessary.

Store information that is no longer required will be deleted or anonymized according to our retention procedures, Shopify’s privacy requirements, and applicable law.

Backup copies may remain temporarily until they are overwritten through normal backup-retention cycles.

7. Shopify privacy and deletion requests

Shopify may send Collection Pro mandatory privacy requests, including:

  • Requests to provide stored customer information
  • Requests to delete customer information
  • Requests to delete store information after an uninstall

Collection Pro verifies these requests and processes applicable requests within the period required by Shopify and applicable law.

Because Collection Pro does not currently request access to customer or order records, it will generally have no customer-level commerce data to provide or delete. Store-level App data may still need to be deleted following a valid shop-deletion request.

Public Shopify apps must subscribe to Shopify’s mandatory privacy webhooks and respond to valid data-access and deletion requests.

8. Data security

We use reasonable administrative, organizational, and technical safeguards designed to protect information, including:

  • HTTPS encryption for data transmitted to and from the App
  • Shopify authentication and session controls
  • Restricted access to production systems
  • Environment-based secret management
  • Database access controls
  • Webhook-signature verification
  • Logging and monitoring
  • Dependency and application-security maintenance
  • Procedures for investigating security incidents

No online service can guarantee absolute security. Merchants are responsible for protecting their Shopify accounts, staff permissions, devices, and login credentials.

9. International data transfers

Collection Pro may process information in countries outside the merchant’s country.

Where required, we use appropriate contractual, organizational, or legal safeguards for international transfers of personal information.

10. Privacy rights

Depending on the applicable law and location, individuals may have rights concerning their personal information, including the right to:

  • Request access
  • Request correction
  • Request deletion
  • Restrict certain processing
  • Object to certain processing
  • Request data portability
  • Withdraw consent where processing is based on consent
  • Submit a complaint to a competent data-protection authority

We may need to verify the requester’s identity and authority before responding.

A Shopify customer seeking information about data processed by a merchant should normally contact that merchant first. Shopify may then send the appropriate privacy request to installed apps.

11. Cookies and session technologies

Collection Pro may use cookies, session tokens, and similar technologies that are necessary to:

  • Authenticate users
  • Maintain secure App sessions
  • Preserve App functionality
  • Prevent fraud and unauthorized access
  • Remember essential settings

Collection Pro does not currently use these technologies for third-party behavioural advertising.

12. Children’s privacy

Collection Pro is a business application intended for Shopify merchants and authorized store staff. It is not directed to children and is not designed to knowingly collect personal information directly from children.

13. Third-party links and services

Collection Pro may link to Shopify Admin pages, Shopify documentation, AphCom resources, or other third-party services.

Those services operate under their own terms and privacy policies. We are not responsible for the privacy practices of third-party websites or services that we do not control.

14. Changes to this Privacy Policy

We may update this Privacy Policy to reflect:

  • Changes to Collection Pro
  • New App features
  • Changes to service providers
  • Changes to Shopify requirements
  • Changes to applicable law
  • Security or operational improvements

The updated version will be published on this page with a revised “Last updated” date.

Material changes may also be communicated through the App or by another appropriate method.
